Segment Overview

Build precise, targeted audience segments to reach the right people with your marketing campaigns. Segments are saved filter configurations that help you organize and target contacts, companies, or deals based on specific criteria.

Segment Types

Expedify offers two powerful segment types to match your use case:

Quick Start

Creating Your First Segment

Step 1: Navigate to Segments

  1. Go to Channel → Segments
  2. Click + Create Segment
  3. Choose your segment type:
    • Static Segment: Snapshot of members at evaluation time
    • Live Segment: Dynamically queries current data

Step 2: Build Your Filters

  1. Select entity type: Contacts, Companies, or Deals
  2. Add filter conditions:
    • Contact properties (name, email, city, tags, etc.)
    • Company properties (industry, size, revenue, etc.)
    • Deal properties (stage, value, close date, etc.)
    • Activity history (campaign opens, template clicks)
    • Event tracking (page views, form submissions)
  3. Configure logic: AND or OR between conditions
  4. Preview results to verify your filters

Step 3: Save and Use

  1. Name your segment
  2. Add description and tags (optional)
  3. Set visibility: Private (just you) or Public (team-wide)
  4. Save segment
  5. Use in campaigns, workflows, or analytics

Example Segment:

"Active Customers - Last 30 Days"
Entity: Contacts
Filters:
- Tags contains "customer" AND
- Last activity date is in last 30 days AND
- Email is verified
Segment Type: Live Segment (always current)

Entity Types

Segments can target three CRM entity types:

Contacts

Target individual people based on:

  • Demographics: Name, email, phone, location, job title
  • Engagement: Email opens, clicks, website visits
  • Behavior: Form submissions, page views, event tracking
  • Properties: Tags, custom fields, lead score
  • Activity: Last contacted, campaign interactions

Example Contact Segments:

  • "High-value leads" - Lead score > 80
  • "Inactive subscribers" - No email open in last 90 days
  • "San Francisco prospects" - City = San Francisco AND Tags contains "prospect"

Companies

Target organizations based on:

  • Firmographics: Industry, size, revenue, location
  • Engagement: Company-level interactions
  • Properties: Tags, custom fields, account status
  • Relationships: Number of contacts, deals, activities

Example Company Segments:

  • "Enterprise accounts" - Company size > 1000 employees
  • "Technology sector" - Industry = Technology
  • "High-value accounts" - Total deal value > $100,000

Deals

Target sales opportunities based on:

  • Stage: Pipeline position, probability to close
  • Value: Deal amount, expected revenue
  • Timing: Close date, created date, last activity
  • Status: Open, won, lost
  • Owner: Assigned sales rep, team

Example Deal Segments:

  • "Closing this quarter" - Close date in next 90 days AND Stage != Lost
  • "High-value pipeline" - Deal value > $50,000 AND Stage = Negotiation
  • "Stalled deals" - Last activity > 14 days ago AND Stage != Won/Lost

Filter Capabilities

Basic Filters

Build segments with powerful filter conditions:

Field-Based Filters:

  • Text fields: equals, contains, starts with, ends with, is empty
  • Numeric fields: equals, greater than, less than, between
  • Date fields: is, before, after, in last X days, in next X days
  • Boolean fields: is true, is false
  • Array fields: contains, does not contain

Example:

Contact: Email contains "@gmail.com"
Contact: City equals "New York"
Contact: Lead score greater than 75
Contact: Tags contains "vip"

Advanced Filters

Cross-Entity Filtering: Filter contacts based on related entities:

Contacts where:
- Company industry = "Healthcare" AND
- Deal stage = "Negotiation"

Activity-Based Filters: Target based on campaign/template interactions:

Contacts where:
- Opened email campaign in last 7 days
- Clicked link in template at least 2 times

Event-Based Filters: Target based on website/app behavior:

Contacts where:
- Viewed specific page in last 30 days at least 3 times
- Submitted contact form in last 7 days
- Downloaded whitepaper

Filter Logic

AND Logic: All conditions must be true:

Contact: City = "Boston" AND
Contact: Industry = "Technology" AND
Contact: Company size > 100

OR Logic: Any condition can be true:

Contact: Tags contains "vip" OR
Contact: Tags contains "enterprise" OR
Contact: Lead score > 90

Nested Groups: Combine AND/OR logic for complex segments:

Group 1 (AND):
- Contact: City = "New York"
- Contact: Lead score > 75
OR
Group 2 (AND):
- Contact: City = "San Francisco"
- Contact: Tags contains "vip"

Segment Management

Organize Your Segments

Naming Conventions:

  • Be descriptive and specific
  • Include purpose and criteria
  • Examples:
    • "Active Customers - Last 30 Days"
    • "NYC Tech Companies - 100+ Employees"
    • "High-Value Deals - Q1 2024"

Tags:

  • Organize segments by category
  • Examples: campaign-2024, geographic, behavioral, high-value
  • Filter segment list by tags

Visibility:

  • Private: Only you can see and use
  • Public: Available to entire team
  • Share strategically to avoid clutter

Monitoring Segments

Member Count:

  • Track segment size over time
  • Identify growing vs. shrinking segments
  • Optimize filter criteria

Growth Rate:

  • See how quickly segments are growing
  • Identify trending audiences
  • Plan campaign capacity

Last Evaluated:

  • For static segments: When members were last refreshed
  • For live segments: Always current (no evaluation timestamp)

Processing Status:

  • Pending: Evaluation queued
  • Processing: Currently evaluating members
  • Completed: Evaluation finished
  • Failed: Error occurred (check logs)

Using Segments

In Campaigns

Email Campaigns:

  1. Create campaign
  2. Select segment as audience
  3. Campaign sends only to segment members
  4. Track performance by segment

WhatsApp Campaigns:

  1. Create WhatsApp campaign
  2. Select segment
  3. Ensure contacts have valid WhatsApp numbers
  4. Send approved template to segment

SMS Campaigns:

  1. Create SMS campaign
  2. Select segment
  3. Ensure contacts have valid phone numbers
  4. Send to segment members

In Workflows

Segment Triggers:

  • Trigger workflow when contact enters/exits segment

Best Practices

Choosing Segment Type

Use Static Segments When:

  • Running one-time campaigns (flash sales, events)
  • Need consistent audience for A/B testing
  • Want snapshot for historical analysis
  • Performance is critical (large segments)
  • Don't need real-time updates

Use Live Segments When:

  • Running ongoing/recurring campaigns
  • Need always-current audiences
  • Behavior-based targeting (abandoned cart, inactive users)
  • Small to medium segment sizes
  • Real-time accuracy is important

Filter Design

Start Simple:

  • Begin with 1-2 basic conditions
  • Preview results
  • Refine and add more conditions
  • Avoid over-complication

Be Specific:

  • Too broad = wasted sends, low engagement
  • Too narrow = missed opportunities

Test Your Filters:

- Email is verified
- Tags does not contain "unengaged"

Product Launch:

Static Segment: "Product A Customers"

- Lead score > 80 OR
